Hiring systems and office automation for commercial trade contractors
Capital Growth Studio builds hiring systems, office automation and project records for commercial mechanical, electrical, plumbing and fire protection contractors in Washington DC, Maryland and Virginia. Our background is software engineering. We build on the tools your office already uses and start with one small fixed-price project. You own everything we build.
Built for two problems: people and paperwork.
What holds commercial trade firms back?
Hiring is the first problem. In the 2026 AGC and NCCER workforce survey, 87% of construction firms had openings for hourly craft jobs. Of those firms, 88% said the jobs were as hard or harder to fill than a year before (AGC, September 2026).
Paperwork is the second problem. Office staff retype work orders, chase insurance certificates and lien waivers, and rebuild the same prequalification packet for each new customer. These tasks often sit in tools that do not connect, so staff enter the same details twice.
A new website rarely fixes either problem, so we start with hiring and paperwork and offer a website as an add-on.
What do we build?
Each service starts with a small first project at a fixed price.
Hiring System
For firms that struggle to find and keep technicians, foremen, estimators and project managers.
- A mobile-friendly careers section with one page for each open job.
- Job data that Google reads, so each opening can appear in Google's job search.
- A short application form with no résumé required, an alert to the hiring manager and an immediate reply to the applicant.
- An applicant log in a tool you already use, such as Excel, Google Sheets or Outlook, with referral bonus tracking.
- Your openings posted to the job boards you already use.
Office Automation
One tool that removes one paperwork task, built on software you already own. For example:
- Insurance certificate tracker: expiry dates and automatic renewal requests.
- Pay application and lien waiver tracker: amounts billed, payments received and open waivers, by job.
- Prequalification packet: your current safety, insurance, bonding and financial documents in one place, ready for the next form.
- Work-order bridge: work orders moved from property manager portals into your accounting or service software without double entry.
- Inspection to quote: an inspection report converted into a repair quote with less retyping.
- Missed-call capture: a text reply to each missed service call, routing to the right person, and a monthly count of captured calls.
Project Proof Kit
Your project record in one place, for the property managers and building owners who check it before they add you to a vendor list.
- One project list sorted by market, with scope and photos, within the limits of your NDAs. Each job you add updates every item below.
- Project pages on your website and one-page project sheets (PDF) for bids and vendor applications.
- A capability statement for public work.
- A facts page: licenses for each jurisdiction, insurance, safety program, and EMR and bonding if you choose to publish them.
- Union or merit-shop affiliation, and certifications with their numbers, such as DC CBE, Virginia SWaM or Maryland MBE.
How does a first project work?
The first project needs no long-term contract, and work starts only after you approve the plan and price.
Step 1: Discovery call
We review whether hiring or paperwork costs you more, and which tools your office uses.
Step 2: Written plan and fixed price
We scope one small first project and give you the scope, price and delivery date in writing.
Step 3: Build on your tools
We show you each part, and you approve it before it goes live.
Step 4: Handover
You receive the logins, files and a short guide. Monthly upkeep is optional.
What can you count on?
- The person on your call does the work. If a project needs a specialist, we will name them before they start.
- You own the domain, code, data and accounts. We hand over logins and files within 5 business days.
- A fixed price in writing before work starts. Monthly upkeep after a first project has a 6-month term, shown in writing before you agree.
- We do not charge per-hire fees, sell bid leads or lock you into a platform.
Questions from trade contractors
Do we need a new website first?
No. Most of this works on your current website. If your site is out of date, a rebuild can be part of the Project Proof Kit, but it is not where we start.
Do you replace our accounting or service software?
No. We build on the tools your office already uses, such as Excel, Outlook, Google Sheets or your accounting software, and avoid new logins where possible. If a new tool would help, we explain why and what it costs before you decide.
Will our jobs show up in Google's job search?
They can. We add the job data Google reads, which makes each opening eligible for Google's job search. Google decides what it shows, so no one can guarantee a placement.
Why not use a recruiter?
A recruiter fills one role and charges a fee for each hire. A hiring system continues to work after the first hire, and you own it. Some firms use both.
Do you work with union contractors?
Yes. Office automation and the Project Proof Kit fit any firm. If your field workers come through a union hall, the hiring system fits your salaried roles, such as project managers, estimators and office staff.
How much does it cost?
Every project has a fixed price in writing before work starts, and the first project is small. Our fee includes hosting and your domain. Software you already use stays in your own account. See what our fee covers.
